Reporting to the Senior Director, HRIS & Data, the HRIS Analyst Level 1 will be responsible for the administration of HR data in the University ERP (Banner), creating accurate staff and student employee and job records with full data accuracy and integrity. This is a payroll deadline-oriented role, performing management of manual and electronic personnel action form (PAF/EPAF) data entry. The incumbent will serve as the primary point of contact to the Villanova community regarding HRIS processes and procedures, including Banner data fields, PAFs and EPAFS, and HR impacts to payroll. Further, this role is responsible for responding to regular reports requests from both the HR department and community.

Duties and Responsibilities: HRIS MAINTENANCE & ADMINISTRATION
- Serve as a primary point of contact for HRIS user support, troubleshooting system issues, and providing technical assistance to end-users.
- Serve as primary point of contact to HR Campus Partners and other HR staff regarding questions from the community on HRIS processes and procedures.
- Validate and enter employee and job data as provided by the Talent Management Center of Excellence (COE) for employees hired through the Applicant Tracking System.
- Validate and enter employee and job data as provided by HR Campus Partners and Directors of Finance & Administration throughout the Villanova community for employees transferring or being promoted through PAFs and EPAFs.
- Conduct regular audits and data validation checks to ensure the accuracy and integrity of HR data.
- Assist in the configuration, testing, and implementation of Banner/system updates, enhancements, and integrations.
- Liaise with payroll to identify pay challenges and escalate if needed to the appropriate resources in HR and payroll.
- Create and maintain the HRIS COE webpage of the greater Villanova HR website, updating training and process documentation regularly.
PROCESS IMPROVEMENT AND OPTIMIZATION
- Improve existing HRIS processes by recommending and implementing industry best practices, identifying automation opportunities within HRIS and payroll processes.
- Work on cross-functional upgrade and implementation project teams as the subject matter expert on HR data and HRIS data functions, testing new functionality and facilitating go-live logistics.
- Develop, test, and maintain internal and external training materials (.PDF, guided online trainings, and live trainings) to answer frequently asked questions posed to the HRIS COE regarding PAFs and EPAFs.
- Develop, test, and maintain internal and external training materials for the HR department to understand process changes, system updates, implementations, and subsequent impacts on other HR processes and HRIS services to the greater Villanova community.
DATA MANAGEMENT AND REPORTING
- Generate routine and ad-hoc reports, queries, and dashboards to meet audit requests and to support HR business needs.
Minimum Qualifications: Formal Education: (e.g., degree)
- Bachelor’s degree or the combination of education and experience that enables performance in all aspects of the position required.
- Specific Job Knowledge: (e.g., knowledge of principles and procedures related to field and area)
- Solid understanding of the Human Resources functions. Strong skills in MS Office; HRIS report writing experience.
- Demonstrated ability to create written and graphic materials. May be requested to produce original written or visual materials as a sample.
Minimum Work Experience: (type and number of years)
- 1-2 years of previous data management or HRIS experience required.
- Proficient use of Microsoft Word, Microsoft Excel, HRIS systems, Reporting BI tools.
- Excellent organizational skills required and attention to detail a must.
- Excellent interpersonal skills desired, and the ability to make well-reasoned decisions.
- Ability to manage multiple priorities and ability to meet deadlines regularly.
- Position requires an individual who understands confidentiality of information.
Preferred Qualifications: Formal Education
- PHR and/or SHRM-CP preferred.
- Experience in Human Resources highly desirable.
- Specific Job KnowledgeEllucian Banner (or Colleague) experience.
- Applicant Tracking Administration experience.
