Overview:
The Benefits Specialist provides day‑to‑day operational support for team member benefits programs, including health, welfare, retirement, and ancillary benefit offerings. This role is responsible for executing benefit transactions, supporting enrollment activities, troubleshooting team member issues, and maintaining accurate data across HR systems. The Benefits Specialist partners closely with HR, payroll, and external vendors to ensure seamless, compliant, and service-focused benefit administration. The role emphasizes operational accuracy, process adherence, and team member support.
Responsibilities:
Benefits Administration & Case Management
- Processes benefit enrollments, changes, terminations, and life event updates across PeopleSoft HRIS system and vendor platforms.
- Responds to team member questions related to benefit eligibility, coverage, enrollment steps, and plan usage with clear, service-oriented guidance.
- Supports annual enrollment activities including data auditing
- Assists team members with escalated Tier 2 benefit issues by researching and resolving discrepancies across systems and vendors.
Operational Accuracy & Data Integrity
- Ensures benefit data is accurate, complete, and aligned between PeopleSoft, payroll, and vendor systems.
- Conducts routine audits of enrollment and deduction data; identifies and corrects discrepancies.
- Processes benefit-related payroll adjustments and ensures proper deduction setup.
- Maintains required documentation for compliance, audits, and internal controls.
Compliance & Process Execution
- Applies federal and state benefit regulations (e.g., COBRA, ACA, HIPAA) to day-to-day processes.
- Assists with preparing and distributing required notices and compliance documentation.
- Helps operationalize policy updates, legislative changes, or plan modifications by updating workflows, job aids, and team member resources.
Reporting & Analytics
- Prepares routine benefit utilization reports and reconciliations (e.g., enrollment counts, billing audits).
- Monitors trends or recurring issues and escalates operational insights to HR leadership.
- Supports monthly billing processes by validating enrollment and premium accuracy.
Qualifications:
Education:
- High school diploma required; Associate’s or Bachelor’s degree preferred.
Experience:
Required
• 2–4 years of experience in benefits administration or HR operations
• Proficiency in Microsoft Excel (data validation, lookups, pivot tables)
• Experience using PeopleSoft or benefits administration systems (e.g., Workday, SAP, ADP)
• Working knowledge of benefits regulations (ACA, COBRA, HIPAA) in an operational context
• Strong communication and customer service skills for supporting team members and interfacing with vendors
