TITLE: PAYROLL AND RECRUITING SPECIALIST
FLSA: NON-EXEMPT
REPORTS TO: DIRECTOR OF HUMAN RESOURCES
SUMMARY: This position serves to support Kightlinger & Gray LLP in the administrative functions assigned to the role. Following established protocols and procedures, this position brings high value to the firm by performing a variety of duties under supervision. The Payroll and Recruiting Specialist processes and manages the firm’s payroll for all firm personnel (partner, exempt and non-exempt) ensuring that pay is processed timely, accurately, and in compliance with government regulations. This position also undertakes all recruiting activities, from advertising open roles to interviewing candidates and closing hires.
RESPONSIBILITIES AND ESSENTIAL DUTIES:
- Manages all bi-weekly payroll functions, including verification of hours worked, ensuring proper processing of payroll deductions, taxes, benefits, retirement contributions, PTO, and garnishments according to federal, state, and local payroll, wage and hour laws, and best practices.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, changes to pay rates, annual benefit elections, and qualifying life events resulting in benefit changes throughout the year.
- Prepares and maintains accurate records and routine/ad hoc reports of payroll transactions.
- Identifies and recommends updates to payroll processing software, systems, and procedures.
- Reconciles payroll withholding disputes and submits timely to accounting for correction.
- Maintains the integrity and confidentiality of payroll information.
- Responds to salary surveys and assists with benchmarking internal salary ranges as needed.
- Assists and coordinates the annual open enrollment process.
- Conducts new hire orientations and time card training.
- Proactively recruits possible candidates, screens resumes, conducts phone screens, and vets possible hires to Director of HR or Legal Personnel Committee for further consideration.
- Serves as voice of the firm to the candidate through the interview process with routine updates along the way.
- Tracks hiring metrics to include time-to-hire, time-to-fill and source of hire.
- Maintains a database of potential candidates for future job openings.
- Prolonged periods sitting at a desk and working on an illuminated screen.
- Operation of customary office equipment to include a computer, phone, messaging systems, copier, document management software, etc.
- Available during core business hours of Monday-Friday, 8:00am-5:00pm. Work in excess of 40 hours/week can sometimes be required to meet the business needs of the firm.

KNOWLEDGE, SKILLS, ABILITIES:
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
- Ability to maintain the strictest of confidentiality.
- Previous experience in a similar role, sufficient to gain usable working knowledge of the position, with preference given to those from a professional services background.
- A bachelor’s degree in accounting, business administration, human resources, or similar field with 1-3 years of related experience required.
- Excellent written and verbal communication skills with ability to successfully interact with all levels of the organization, clients, prospective clients, and vendors.
- Excellent analytical and problem-solving skills with a strong sense of customer service to internal and external needs with ability to perform in fast-paced scenarios against external deadlines.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite or similar software with proficient working knowledge of payroll software.
