Position Summary
The Payroll Specialist supports daily payroll operations to ensure accurate and timely compensation of employees in compliance with federal, state, and local regulations. This role is responsible for processing payroll data, completing new hire tax setup, responding to employee payroll inquiries, and providing phone coverage for the payroll team. The position requires strong attention to detail, sound judgment, and the ability to work effectively in a fast-paced, service-oriented environment.
Key Responsibilities
• Administer day-to-day payroll operations with a strong focus on accuracy, timeliness, and regulatory compliance.
• Lead and support the Pay Card Registration program.
• Complete new hire payroll tax setup, ensuring federal, state, and local tax information is entered accurately and in accordance with regulatory requirements.
• Conduct regular payroll audits to maintain data integrity and proactively identify and resolve discrepancies.
• Serve as a primary point of contact for employee payroll inquiries, delivering accurate information and timely issue resolution.
• Provide phone coverage for the payroll team, responding to inbound calls and escalating issues as appropriate.
• Assist with payroll processing in compliance with federal, state, and local wage and hour laws.
• Collaborate with Payroll Specialists and cross-functional partners to support payroll operations and continuous improvement initiatives.
• Manage incoming payroll-related mail and correspondence.
• Process and support the accurate and timely execution of a weekly hourly union payroll, ensuring compliance with applicable collective bargaining agreements, company policies, and federal, state, and local wage and hour regulations.
• Perform additional duties and special projects, as assigned to support the payroll function.
Knowledge and Experience
• Minimum of 3 years of payroll experience with demonstrated knowledge of payroll processes and compliance requirements.
• Working knowledge of benefits and deductions, garnishments, payroll taxation, and new hire tax requirements.
• Proficiency in Microsoft Excel, Word, Outlook, and Access.
• Strong analytical, organizational, and problem-solving skills with high attention to detail.
• Effective verbal and written communication skills to interact with employees and stakeholders at all levels.
