Summary:
The Recruiting Coordinator – Physician & Provider Recruitment supports the physician recruitment function by coordinating candidate sourcing activities, managing recruitment logistics, and assisting with the candidate experience throughout the recruitment lifecycle. Working closely with the Recruitment Manager and Physician Recruiters, this role helps develop and maintain candidate pipelines for physicians and advanced practice providers while ensuring recruitment processes are organized, efficient, and responsive.
This role is responsible for coordinating interviews, managing candidate communications, supporting recruitment outreach initiatives, and maintaining accurate recruitment documentation within the Applicant Tracking System (ATS). The position also supports physician recruitment events, residency outreach efforts, and conference engagement to strengthen the organization’s provider talent pipeline.
Essential Functions:
Recruitment Coordination
• Coordinate and schedule candidate interviews with physicians, operational leaders, and executive leadership
• Manage recruitment calendars and interview logistics across multiple clinics and stakeholders
• Facilitate candidate communications throughout the recruitment process
• Assist with preparation and distribution of offer letters and onboarding documentation
• Coordinate background checks, pre-employment requirements, and onboarding activities
Physician & Provider Sourcing Support
• Assist with proactive candidate pipeline development for physicians and advanced practice providers
• Conduct outreach to residency and fellowship programs to support recruitment initiatives
• Support cold outreach campaigns and candidate engagement through recruitment platforms and CRM systems
• Assist with initial resume review and candidate pre-screening support for the recruitment team
Recruitment Events & Outreach
• Support participation in physician recruitment conferences, job fairs, and networking events
• Assist with scheduling and logistics for recruitment outreach activities and residency program engagement
• Coordinate recruitment marketing materials and candidate information packets
Recruitment Operations & Documentation
• Maintain accurate recruitment records and candidate tracking within the Applicant Tracking System (ATS)
• Assist with tracking recruitment metrics such as candidate pipeline activity and recruitment event participation
• Ensure recruitment documentation is organized and compliant with internal processes
• Support the recruitment team with reporting and administrative needs
Minimum Requirements:
Associate’s degree or equivalent experience required
Bachelor’s degree in Human Resources, Healthcare Administration, Business, or related field preferred
1–3 years of experience in recruitment coordination, HR support, or administrative support role preferred
Experience supporting healthcare recruitment or physician recruitment preferred
Other Knowledge, Skills, and Abilities:
• Strong organizational and coordination skills
• Ability to manage multiple scheduling priorities across leadership teams
• Excellent written and verbal communication skills
• Strong attention to detail and documentation accuracy
• Ability to maintain confidentiality and professionalism when working with physician candidates
• Proficiency with Applicant Tracking Systems (ATS) and Microsoft Office applications
