Payroll Administrator - Los Angeles, CA.
The Payroll Administrator /Union Benefits Auditor is responsible for supporting the administration of the Regional(s) payroll and benefit systems. The Auditor is responsible for the timely and accurate delivery of benefit and related client service, including record-keeping and reporting. The position has a heavy focus on report development and production.

***Rate $28-$30 an/hr.
You will dedicate 50% of your time to payroll responsibilities and the remaining 50% to managing Union Benefits, Union Dues, and the Union 401(k) program.
Principal Union Benefits Auditor Job Duties: (50% of time)
- Retrieving the billing directly from the vendors websites
- Organizing and separating invoices for several healthcare companies.
- Using ADP to verify employees active status and location.
- Making notes on spreadsheets to reflect retroactivity bills, credits, terminations, opting out, switching plan from individual to family and LOA.
- Receiving monthly reports from Senior Payroll Administrator regarding union employees being terminated or transferred.
- Communicate with managers & assist with enrolling in health insurance and 401k plans.
- Take leadership with administering our benefits portal (new enrollments, rehires, terms etc.
- Handling allocations of benefits.
- Constant communication with NWA, Location Managers, Union Rep, Medical, Insurance & Payroll team about movement with employees benefits.
- Reaching out to the union for confirmation of both health and dental insurance, appropriate billing, and cancellation when necessary.
- Auditing employee hours on a weekly/monthly basis & updating the union on the necessity of benefits removal.
- Cross-reference allocation information on several spreadsheets.
- Email invoices to the corporate office and upload them to the company database.
- Process 401K Plan contributions weekly. Handle & track 401k acknowledgement forms. Run weekly reports.
- Assist managers by answering any general questions.
- Send benefit forms to existing employees transferring to non-union to union locations.
- Responsible for sending notices to managers as needed.
Principal Payroll Administrator Job Duties: (50% of time)
- Review and process employee timesheets and timecards, correcting missing time punches
- Running TCP audit reports
- Enter adjustments, reimbursements, retro pay, and corrections
- Meal break violations reviewed (especially important in California)
- Correct payroll errors from previous periods
- Monitor exceptions (missed punches, overtime, meal/rest compliance)
- PTO, vacation, sick time coded correctly
- Holiday hours applied where applicable
- Employees who worked at multiple locations/cost centers allocated properly
- Update employee records or deductions
- Shift differentials applied
- Run reports, reconcile payroll data
- Prepare for the upcoming payroll run
- Maintain compliance with labor laws such as overtime rules and meal/rest break penalties (especially important in states like California)
- Maintain records for audits
- Respond to employees and managers questions about: Paychecks, PTO balances, Tax withholding, Deductions
- Help employees access pay stubs or tax forms in payroll systems
- Process final paychecks for terminated employees
- Ensure correct PTO payout where required
Required Experience & Skills
- Minimum of 5 years experience in payroll and benefits administration.
- Advanced and comprehensive knowledge of Microsoft Excel, including:
- Data entry, formatting, formulas, filtering, and chart creation.
- Advanced features such as VLOOKUP and PivotTables for data analysis and manipulation.
- Ability to manage high-volume processing and complex reporting.
- Strong typing, organizational, and data management skills.
- Ability to identify, investigate, and resolve discrepancies.
- Experience working collaboratively with employees, managers, unions, and healthcare providers.
- High level of confidentiality, professionalism, and integrity.
- Effective project management and ability to meet deadlines.
- Comfortable handling a high volume of emails and communication.
