The HR Administrative Assistant supports Human Resource operations by managing onboarding processes, maintaining employee records, and ensuring compliance with company policies and employment regulations. This role is critical to ensuring accurate data, smooth onboarding experiences, and efficient HR processes.
Key Responsibilities
Onboarding Administration
- Coordinate and monitor onboarding workflows in Rippling
- Ensure completion of all required documentation prior to employee start date
- Communicate with new hires to resolve onboarding issues
Employee Records & Data Management
- Maintain accurate employee records and documentation
- Audit HRIS data regularly for completeness and accuracy
- Ensure proper filing and record retention
Compliance & Documentation
- Support completion of employment eligibility documentation (I-9, W-4, etc.)
- Ensure adherence to company policies and employment requirements
- Assist with audits and reporting as needed
Payroll Support
- Assist with payroll preparation and data validation
- Verify employee pay rates, job details, and tax setup
- Identify and escalate discrepancies
General HR Support
- Respond to employee inquiries related to HR processes
- Support internal HR reporting and administrative projects
- Assist with policy distribution and acknowledgments
- Other duties as needed to support department and company
Qualifications
- 1+ years of HR administrative support experience required
- Strong attention to detail and accuracy
- Excellent communication skills
- Experience working with HR systems (Rippling preferred)
- Ability to handle sensitive and confidential information
- Exceptional organizational and problem-solving skills
- Adept at quickly learning new processes
- Detail-obsessed and process-driven
- Strong follow-through and accountability
- Confident in taking initiative
