The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a community‐based organization whose mission is to provide safe, affordable housing with supportive services within a residential setting which enhances the independence and dignity of each person. WSFSSH develops, manages, and provides housing for low‐ income older persons, many of whom live with mental illness and/or have experienced homelessness.
Position Description
The Staffing and Recruiting Coordinator is responsible for staffing, scheduling, timesheet approval, and system orientation for the internal per diem employees referred to as Multi-Site Support (MSS) which include: Kitchen Assistants, Front Desk, Porters, Program Aides and Personal Care Aides.
The Staffing and Recruiting Coordinator collaborates building and program leadership to review and develop work schedules based on need and realistic expectations for fill a role. The Staffing and Recruiting Coordinator assists in the process of securing staff for open shifts proactively and daily to ensure appropriate coverage for short and long term assignments.
Job Duties & Responsibilities
Recruitment & Talent Acquisition
Managing the full high-volume MSS recruitment lifecycle by sourcing candidates through community organizations, social service agencies, schools, and job boards; Develop and maintain strategic community partnerships to create ongoing talent pipelines.Maintain applicant tracking system to ensure accuracy for applicant flow reporting and manage all follow-up communications with managers and candidates.Conduct candidate screenings and phone interviews, Coordinate and complete all pre-employment clearances with DOH, OMH professional reference check sand employment verification processes.Ensure all candidate files are complete, accurate, and compliant with regulatory standards.Match staff with individuals based on needs, preferences, and compatibility Coordination of MSS Workforce & Scheduling
Oversee daily operations of the organization’s MSS pool and coordinate staffing coverage for: Employee call-outs, vacation coverage, leave of absence coverage and vacancies.Perform orientation and in-service training of MSS employees related to the staffing/scheduling system functionality and related processes.Match qualified MSS to departmental coverage needs in real time.Communicate regularly with site managers and department leaders regarding staffing gaps and coverage plans.Monitor MSS utilization, attendance, workforce availability and schedulingResponsible for staff scheduling to including work assignments/rotations, employee training, employee vacations, employee breaks, overtime assignment, back up for absent employees, and shift rotations.Allocates and maintains an adequate staffing schedule/pattern to assure coverage to meet needs. Maintains daily personal assignment records indicating on and off duty schedules.Performs related duties, as required.Required Skills / Abilities
Strong understanding of recruiting best practices and candidate pipeline development.Proficiency with ATS platforms, HRIS systems, Microsoft Office Suite, and scheduling tools.Excellent organizational, multitasking, and problem-solving skills.Strong interpersonal and communication skills with the ability to build relationships internally and externally.Ability to work independently in a fast-paced, deadline-driven environment.Core Competencies
