Job Summary
We're looking for a Senior Payroll Administrator to take complete ownership of payroll for our multi-state, multi-entity organization. This is a high-trust, high-impact role built for someone who takes pride in precision, thrives on accountability, and genuinely enjoys owning a process from beginning to end.
As our payroll subject-matter expert, you'll independently run every payroll cycle and keep us compliant across a complex multi-state footprint. You'll work closely with Human Resources, Accounting, property leadership, and managers across the organization to resolve discrepancies, enforce payroll deadlines, maintain strong internal controls, and continuously improve payroll processes.

Payroll Processing and Administration
- Independently execute the complete semi-monthly payroll process across multiple states, legal entities, and locations—from preliminary review through final submission, funding confirmation, reconciliation, and reporting
- Review payroll registers, audit reports, and variances to ensure accurate processing of wages, overtime, bonuses, commissions, reimbursements, PTO, deductions, and garnishments
- Process off-cycle payments, corrections, manual checks, retroactive adjustments, and final wages—always properly authorized, documented, and within applicable state deadlines
- Maintain payroll calendars, processing checklists, approval deadlines, and internal controls, resolving discrepancies before they ever reach an employee's paycheck
Employee Data & Timekeeping
- Review and process new hires, terminations, transfers, compensation changes, promotions, leaves, tax elections, and direct-deposit updates—confirming everything is approved and accurately reflected in Rippling before payroll runs
- Serve as the primary administrator for Rippling Time & Attendance: reviewing timecards for missed punches, unapproved time, overtime, and meal-period exceptions
- Partner with managers to ensure timecards are corrected, approved, and submitted on time, and provide training and guidance on timekeeping responsibilities and payroll procedures
Systems, Compliance & Reporting
- Serve as the primary administrator for Rippling Payroll—maintaining settings, pay schedules, earning and deduction codes, approval workflows, and reporting, and monitoring integrations across payroll, timekeeping, benefits, onboarding, and Accounting
- Ensure payroll practices comply with federal, state, and local wage-and-hour, tax, withholding, and recordkeeping requirements, including California and other complex states
- Manage garnishments, child support orders, tax levies, payroll tax notices, and agency correspondence
- Reconcile payroll totals, deductions, taxes, and contributions each cycle in partnership with Accounting; support quarter-end, year-end, W-2 review, and internal and external audits
- Identify opportunities to strengthen controls, reduce manual work, improve reporting, and enhance overall payroll accuracy
What You'll Bring
- At least 5 years of progressively responsible payroll experience, including independently owning and processing full-cycle payroll
- Multi-state, multi-location payroll experience—California wage-and-hour and final-pay knowledge required
- Experience supporting both hourly and salaried employees in corporate and field-based environments
- Strong command of payroll calculations, overtime, deductions, garnishments, taxes, reconciliations, and year-end processing
- Experience administering an integrated payroll and timekeeping platform; direct Rippling experience strongly preferred
- Strong Excel skills (formulas, lookups, filters, pivot tables, and data reconciliation)
- Exceptional attention to detail and the ability to manage recurring deadlines with limited supervision
- Strong written and verbal communication skills and sound judgment with confidential information
