The Payroll Accountant conducts weekly payroll administration by ensuring timely and accurate payment distribution to employees and shareholders, completing payroll and tax reports, posting to the General Ledger, ensuring compliance with applicable laws, and providing support to external auditors.
FLSA: Exempt | Reports to: Chief Financial Officer
Essential Functions:
- Process payroll for hourly, salaried, and contract employees, including regular, overtime, incentives, bonus, and commission payments, and by pulling time records from time management software.
- Maintain confidentiality and integrity of employee payroll information.
- Prepare and file payroll tax reports, including quarterly and annual filings (e.g. W-2s, 1099s).
- Calculate payroll liabilities by determining employee taxes, including federal and state income and social security tax, and calculating employer's payments for social security, unemployment, and worker's compensation.
- Reconcile payroll accounts and prepare journal entries for the general ledger.
- Maintain all payroll operations according to federal and company policies and procedures.
- Maintain payroll records, ensuring accuracy of employee data, tax information, and deductions.
- Ensure compliance with federal, state, and local payroll laws, including tax withholding, wage-and-hour rules, and reporting requirements.
- Analyze payroll data to identify discrepancies, trends, or opportunities for process improvement.
- Support Internal and external audits by providing documentation and explanations as needed.
- Coordinate with HR to ensure accurate onboarding, terminations, and changes in compensation or benefits.
- Respond to employee inquiries regarding pay, deductions, and payroll policies.
Education: Bachelor's degree in accounting, finance, or a related field.
Experience: Minimum of 10 years in payroll administration.
Knowledge, Skills, and Abilities:
- Knowledge of arithmetic – counting, addition, subtraction, multiplication and division.
- Knowledge of data entry processing.
- Skilled in organization and attention to detail.
- Skilled in providing excellent customer service with both internal and external customers through accurate and friendly communication.
- Ability to communicate effectively verbally and in writing.
