Summary:
The Recruitment Support Specialist provides high-level administrative, operational, and sourcing support to the Medical Network Recruiter and Human Resources team. This role supports the full-cycle recruitment process for clinical, non-clinical, operational, and administrative positions across El Camino Health Medical Network.
The Recruitment Support Specialist is responsible for job postings, candidate sourcing, applicant tracking system support, interview coordination, recruitment reporting, candidate communication, and recruitment process follow-up. This position requires a forward-thinking, resourceful, and highly organized individual who can anticipate recruitment needs, support process improvements, and help ensure a positive candidate and hiring manager experience.
Essential Functions:
Recruitment and Sourcing Support
- Support the Recruiter with sourcing qualified candidates for open positions across ECHMN clinics and departments.
- Conduct initial candidate outreach through job boards, resume databases, professional networks, and other sourcing platforms.
- Assist with identifying passive candidates for hard-to-fill clinical and administrative roles.
- Maintain candidate pipelines for current and future recruitment needs.
- Support recruitment campaigns, hiring events, and targeted outreach efforts as needed.
ATS and Job Posting Administration
- Post approved positions internally and externally in alignment with organizational guidelines.
- Maintain accurate requisition and candidate information in the applicant tracking system.
- Monitor job postings to ensure accuracy, consistency, and timely updates.
- Track requisition status, candidate activity, and recruitment workflow progress.
- Assist with closing requisitions, updating postings, and maintaining recruitment documentation.
Candidate and Hiring Manager Coordination
- Coordinate interviews between candidates, recruiters, hiring managers, and interview panels.
- Communicate with candidates regarding interview logistics, application status, and next steps.
- Support a professional, timely, and positive candidate experience throughout the recruitment process.
- Follow up with hiring managers on interview feedback, candidate decisions, and recruitment status updates.
- Assist with offer preparation documentation and pre-employment process coordination as needed.
Metrics and Reporting Recruitment
- Prepare and maintain recruitment reports, dashboards, and tracking tools.
- Monitor recruitment metrics such as open requisitions, time-to-fill, aging requisitions, sourcing activity, interview volume, and candidate pipeline status.
- Identify trends, delays, or process gaps and escalate concerns to the Recruiter or HR leadership.
- Support weekly recruitment updates and reporting for HR and operational leadership.
Process Improvement and Administrative Support
- Recommend improvements to recruitment workflows, candidate communication, tracking tools, and hiring manager follow-up processes.
- Maintain organized recruitment files, templates, trackers, and shared resources.
- Support recruitment-related projects, process updates, and special initiatives.
- Partner with HR team members to support onboarding handoffs and new hire readiness.
- Perform other recruitment and HR administrative duties as assigned.
Minimum Requirements:
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred
- Minimum of 3–5 years of experience in recruitment coordination, talent acquisition support, HR administration, or related experience required.
- Healthcare recruitment experience preferred.
- Experience supporting high-volume recruitment or multi-site operations strongly preferred.
- Experience working with an applicant tracking system required.
- Experience with candidate sourcing, job postings, recruitment reporting, and interview coordination preferred.

Reporting Relationship
This position reports to Human Resources and provides direct recruitment support to the Medical Network Recruiter.
Compensation details: 36-41 Hourly Wage
