SCHEDULE: Monday-Friday, 8:00 a.m. - 4:00 p.m. (37.5 hrs./week)
Summary
The Human Resources Associate provides administrative and operational support to the Human Resources Department while maintaining the highest level of confidentiality. This position serves as a primary point of contact for employees and visitors by providing exceptional customer service and assisting with employment processes, personnel records, employee communications, background screenings, employment verifications, and various Human Resources administrative functions. The Human Resources Associate works collaboratively with the Human Resources Assistant Director, Human Resources Manager, Human Resources Director, and other department staff to support hiring, onboarding, employee services, and agency operations.
Key Responsibilities
- Maintain strict confidentiality of all employee records and information processed within the Human Resources Department.
- Answer and route incoming telephone calls and greet employees and visitors in a professional and courteous manner.
- Assist, as needed, the Human Resources Assistant Director, Human Resources Manager, and Human Resources Director with providing support to employees regarding insurance issues.
- Conduct telephone screenings of applicants, schedule interviews, and send interview confirmation emails as requested.
- Prepare and distribute employee birthday cards for departmental recognition.
- Process and report pre-employment background screenings, including Criminal History, LEIE, and Driver's Record checks, ensuring documentation is complete, accurate, and compliant.
- Prepare, process, and maintain Human Resources purchase requisitions and purchase orders related to background check invoices and other departmental expenses.
- Maintain current and former employee personnel files, including employment documentation, training records, and other Human Resources records while ensuring confidentiality.
- Provide administrative support to facilitate agency hiring processes and assist department managers as needed.
- Cross-train with Human Resources team members and provide backup support during absences or increased workloads.
- Maintain and update employee email distribution lists and ensure accuracy of the organization's address directory.
- Update, maintain, and distribute Human Resources forms and documentation.
- Serve as the primary contact for employment verification requests.
- Perform other duties as assigned.

- Ability to maintain strict confidentiality and exercise discretion when handling sensitive employee information.
- Strong interpersonal and customer service skills with the ability to establish professional relationships with employees, applicants, managers, and the public.
- Excellent attention to detail with the ability to prepare, review, and maintain accurate records and documentation.
- Ability to organize, prioritize, and manage multiple tasks simultaneously.
- Proficient in Microsoft Office Suite, including Word, Outlook, and Excel.
- Ability to operate standard office equipment including computers, printers, copiers, scanners, telephones, and fax machines.
Physical and Work Requirements
- Ability to communicate effectively in person, by telephone, and in writing.
- Ability to organize, process, and maintain both electronic and paper records.
- Ability to review records and documents for accuracy and completeness.
- Valid driver's license required.
- Proof of current vehicle liability insurance required.

Job Requirements
Education and Experience Requirements
- High school diploma or equivalent from an accredited school required.
- Minimum of one (1) year of experience as a Secretary, Receptionist, Administrative Assistant, or in a similar administrative support role preferred.
- Experience in a Human Resources environment is preferred but not required.
