JOB SUMMARY
The Recruitment Assistant assists with the day-to-day operations of the recruitment operation and duties. These duties include but are not limited to, supporting the recruiting and new hire process, maintaining employee files, recruitment database management and record keeping, HRIS data entry, onboarding appointments and orientation support. The Assistant is expected to maintain a professional and personable attitude with all applicants, candidates, new hires, managers and current employees.
PRINCIPLE FUNCTIONS include the following, other duties may be assigned:
- Provides administrative support to the Human Resources Recruitment Division, including data entry, information gathering and analysis, database management, filing, documentation preparation and tracking, records management, responding to information requests, photocopying, and coordinating appointments.
- Enters and maintains new hire information within the Human Resources Information System (HRIS).
- Prepares personnel files and New Employee Orientation (NEO) packets for newly hired employees.
- Develops offer worksheets containing employee and position information to support recruiter assessments of work experience and offer finalization.
- Maintains and updates all new hire tracking databases to ensure accurate and timely recordkeeping.
- Coordinates the collection and tracking of all pre-employment and onboarding requirements, including background clearances, credential verification, Form I-9 documentation, and onboarding compliance requirements.
- Coordinates pre-employment background screening process (Americhek, WSP, Education, Driving Record, License Verification, and SanctionCheck).
- Maintains personnel records in accordance with established policies, procedures, and regulatory requirements.
- Provides back up to HR Coordinator to host new hire onboarding appointments as needed, ensuring a positive and organized onboarding experience.
- Reviews online employment applications within the Applicant Tracking System (ATS) as directed by the HR Manager, Talent & Workforce Compliance.
- Communicates application status updates and recruitment process information to applicants and hiring managers as requested by the HR Coordinator or HR Manager.
- Places NEO café orders and Environmental Services room set up order.
- Assists with NEO room set up and break down as needed.
- On call to provide documents, supplies and/or room relief as needed throughout New Employee Orientation (NEO).
- Processes offboarding paperwork, disbursement and filing as directed by HR Managers.
- Supports ongoing human resources compliance and recruitment activities, including personnel file audits, job fairs, advertising tracking, preparation of materials, records reviews, and other special projects as assigned.
- Performs additional duties and responsibilities as assigned in support of departmental and organizational objectives.

JOB KNOWLEDGE & QUALIFICATIONS
Education
- Highest level of education completed, minimum high school diploma or equivalent required.
Training and Experience
- Demonstrates experience in delivering quality service as a team member in a busy multi-faceted work environment while exhibiting a high level of confidentiality.
- Strong interpersonal skills and excellent verbal and written communication skills are required.
- Must also have the ability to gather and analyze information skillfully and possess excellent organizational and time management skills.
- Extensive knowledge of Word, Excel, Access and PowerPoint required, including the ability to create, manipulate and manage databases.
